International Patent Docketing Specialist

STATUS: Open

JOB DETAILS 

The International Patent Docketing Specialist is responsible for various procedures and data entry pertaining to the docketing of international patent correspondence for our customers.

ESSENTIAL FUNCTIONS

  • Develops and maintains knowledge of rules and procedures for various Patent Offices.
  • Develops and maintains knowledge of various commercial docketing systems.
  • Processes foreign communications received from International Patent Offices, foreign agents and attorneys.
  • Determines correct deadlines for responses.
  • Updates docketing systems and databases as necessary.
  • Assists as needed with intake of new customers.
  • Opens files in in-house database and docketing systems, and updates accordingly.
  • Provides customer service to various Black Hills IP customers.
  • Contacts customers regarding final deadlines.

ADDITIONAL TASKS

  • Assisting the Docketing Manager as necessary
  • May act as backup to other staff in their absence;
  • Performs all other duties as assigned and required.

Demonstrated superior analytical skills, with strong ability to review and organize numerous documents in complex legal matters. Ability to communicate effectively, both verbally and in writing, with diverse customer base. Ability to perform alpha-numeric data entry at 125 kpm net of error. Ability to perform attention to detail with 90 percent accuracy. Ability to pass required background check as related and may be required by Federal Regulations.

IP Customer On Boarding & Relationship Director

JOB DETAILS 

Under the general direction of the President, the IP Customer On Boarding and Relationship Director assures quality and consistency in customer service for Black Hills IP products and services. As an IP subject matter expert, the position is the primary point of contact for our existing and potential customers during the onboarding process. ESSENTIAL FUNCTIONS

Develops procedures, establishes standards and implements the process for the delivery of customer service;

Communicates with new and existing customers to assure efficient and effective onboarding of new services; and coordinates related implementation activities with the Operations Department;

Oversees, coordinates and manages various special projects related to customer service, onboarding and implementation of new services;

Oversees timely and professional processing and response to customer requests and questions; assures timely response, resolution, and follow-up to customer complaints;

Implements and maintains the comprehensive customer database and generates related customer service and satisfaction reports.

ADDITIONAL TASKS

Assists management to streamline business operations and to understand the impact of technical aspects of services on customers;

Assists with accounting, sales, and other departments for coordination purposes;

Bachelor’s or Associate’s degree with a minimum of three (3) years experience as an Intellectual Property (“IP”) docketer, IP paralegal, or similar IP support position to have gained a comprehensive knowledge of IP support services.  Prior experience specifically focused on building and maintaining excellent customer relationships.  Prior project management experience demonstrating the ability to define and oversee a project from conception through implementation.  Knowledge, desire, and initiative to provide exceptional customer service.  Ability to work independently and under pressure.  Ability to brainstorm new and innovative processes and services.  Excellent organizational skills to manage and coordinate time sensitive deadlines for multiple customers.  Excellent written and oral communication skills.  Proficient in MS Office products. Case Management Group Representative

JOB DETAILS 

Under the direct supervision of the Facility/Site Manager is responsible for completing all assigned projects in a timely manner with a high level of quality. Utilizing special computerized programs, the Case Management Group Representative will track critical dates and data to assure that required actions take place when required, and communicate with the customer the status of the complete patent portfolio. The customer may be a private individual or organization of the United States or other country.

ESSENTIAL FUNCTIONS

  • Maintains customer docket and client specifics; prepares related correspondence; and communicates with the customer on the status of each matter in their patent portfolio;
  • Maintains complete and accurate electronic and physical files for customers; updates Foundation IP and customer databases as applicable;
  • Acts as a liaison between the firm’s paralegals and attorneys;
  • Contacts the patent and trademark office as needed; files and submits fee payments to USPTO;
  • Corrects USPTO errors as necessary;
  • Prepares formal documents for customer signatures and does follow-up to ensure signed documents are returned in a timely manner.
  • Maintains knowledge of current procedures, CMG manual and practices, and customer information.

Under the direct supervision of the Operational Excellence Manager, is responsible for ensuring all incoming docketing is processed accurately and timely while providing the required support to assist the docketing team as necessary; completing all assigned projects in a timely manner with a high level of quality. ESSENTIAL FUNCTIONS

  • Processes routine communications received from the PTO, foreign associates, and clients (received by mail, email, fax and courier).
  • Updates client docket program as required.
  • Reviews and verifies docket entries.
  • Prepares Revocations for US transferred-in files and notifies Foreign Associates of Change of Attorney for foreign transferred-in files.
  • Prepares “Change of Correspondence Address” and “Petitions to Withdraw from Representation” for transferred-out files.

  • Assists with data verification reports, status reports and Customer Number issues

  • Obtains copies of patents and published articles through on-line sources, libraries, or other resources
  • Contacts customers to obtain search results for possible citation in an IDS
  • Enters references into FIP Database and customers databases as applicable
  • Verifies that all references on USPTO forms match physical documents
  • Prepares documents for filing with USPTO and other patent offices
  • Files documents with USPTO and forwards to foreign associates for filing in other patent offices
